Construction Procurement

Though this site can help you find several qualified suppliers along with their pricing and terms, please keep in mind that making your buying decisions based on price alone may lead to missing better values. “3 bids and a buy” is a common purchasing procedure in the construction world but more advanced strategies can be found in leveraged buying, volume agreements, total cost of ownership, early pay discounts, etc. Some suppliers back their merchandise with excellent warranties, quick response service teams, or knowledgeable salespersons that can help you troubleshoot a project or find solutions you may not know exist.

One of the most important aspects of a successful procurement strategy involves aligning the suppliers necessary to the Project’s success to your objectives. You should clearly communicate your requirements to the vendors while eliminating those who will not be capable of meeting your needs. Examples of this strategy include favorable payment terms, specific delivery schedules, quality assurance processes, dedicated internal customer service teams, consignment inventory, and other cost or time savings measures.

Of course, in the construction world there will always be emergencies and last minute PO’s written. Assuming your suppliers have been reduced to those who consistently provide the best overall value and your daily spend has been allocated/leveraged to those businesses you should find yourself in the great position of being a valued customer. Your suppliers will now be much more likely to respond to your urgent needs as it were theirs.

If your internal purchasing procedures need help don’t be afraid to ask. Do invoices show up with incorrect quantities or pricing? Are PO’s not being written? Is the home office always calling the field for help in paying invoices? Are suppliers not following your purchasing terms? Should you move the purchasing function to a centralized process? There is hardly any industry that lags more in advanced purchasing practices than Construction. This is due to a lack of technology, bad habits passed down that are hard to change, and the general unplanned and changing nature of the work.

All purchasing decisions should be made with the goal of extracting the most value from every dollar expended. Every bit of cost saved affects the company’s bottom line just as directly as going out and getting new work, only you don’t have the safety issues, estimating costs, or labor problems. So work diligently at improving your processes and report the cost savings as they start to add up!
